(Local) How to transfer CSEAS Gmail data to personal Gmail.

Dear CSEAS members.

The Center has been providing Gmail (Google Apps for Education) since 2008 fiscal year.
This is popular system, so it’s easy accessible. However, it’s hard work about the transfer of Gmail data after you left from the Center. Therefore, we would like to explain how to transfer it for seamlessly continuing   your research/educational activities.

Center’s Support

  1. Support to transfer CSEAS Gmail to personal Gmail.
  2. Support to store CSEAS Gmail to “Thunderbird Portable” (Only Visiting Research Fellows)

Then, we do the different support before/after leaving from the Center.

How to transfer CSEAS Gmail to personal Gmail

Step 0. Submit the application for leaving from the Center.

Basically, the CSEAS account will be removed after you leave from the Center. Therefore, please submit the application (Only Japanese) before leaving from the Center. And then, please report about CSEAS Gmail transfer in the application.

Step 1-a.  Preparation

  1. Get  personal Gmail (***@gmail.com ) and sign in it.
  2. Sign out personal Gmail.
  3. Sign in CSEAS Gmail .
  4. Select Gmail settings in the gear icon.
  5. Click on “Forwarding and POP/IMAP” in the upper menu.
  6. Check on “Enable POP for all mail” in POP Download item and click on “Save Changes” button.
  7. Check on  “Allowing less secure apps to access your account” for CSEAS Gmail.

Step 1-b. Tranfer CSEAS Gmail to personal Gmail

  1. Sign out CSEAS Gmail.
  2. Sign in personal Gmail.
  3. Select Gmail settings in the gear icon.
  4. Click on “Accounts and Import”  in the upper menu.
  5. Click on “Add a POP3 mail account you own”
  6. Input “CSEAS e-mail address” in the dialog box.
  7. Setting up
    Username: CSEAS e-mail address (****@cseas.kyoto-u.ac.jp)
    Password: CSEAS e-mail password
    POP Server: pop.gmail.com
    Port: 995
    Check on “Always use a secure connection (SSL) when retrieving mail.”
    Check on “Label incoming messages: (Optional)And then, click on “Add Account” button.

CSEAS Gmail data will be transferred to personal Gmail.
Please wait for several days if there are many e-mail.

Step 1-c. Remove the transfer setting

After you will receive all CSEAS Gmail data, please remove the transfer setting in personal Gmail settings.

  1. Sign in personal Gmail.
  2. Select Gmail settings in the gear icon.
  3. Click on “Accounts and Import”  in the upper menu.
  4. Delete the CSEAS Gmail transfer setting.

 

Step 2. How to transfer the Address book

[Export the address book in CSEAS Gmail to your PC]

  1. Sign out personal Gmail.
  2. Sign in CSEAS Gmail.
  3. Select “Contacts” in left side menu.
  4. Click on “More” in left side menu and click on “Export”.
  5. Select “Export” in “Other” upper menu.
  6. Export “All contact list” as “Google CSV” to your PC.

[Import the address book to personal Gmail]

  1. Sign out CSEAS Gmail.
  2. Sign in personal Gmail.
  3. Select “Contacts” in left side menu.
  4. Click on “More” in left side menu and click on “Import”.
  5. Select “Import” in “Other” upper menu.
  6. Choose exported data.
